This is the first major update we've released this year, since Version 5.7 was released last December.

Along with Version 5.8, I'm happy to announce that we've reached a milestone on our Solution Splitting project.

Wild Apricot Version 5.8 Released

On August 24th, we released another major update of our software. This update included 4 major components:
  • A simplified email wizard
  • A new export field
  • API enhancements
  • Bug fixes
One thing I would like to address is that we did not do a good job of communicating this Version release with our customers. 

Typically, we post notifications about our releases in our monthly newsletters, on our help site, our service notices, and in-product notifications. However, due to the large change from the email wizard that came with this release, we received a lot of feedback of surprise from customers who were unaware of this coming change. We realized that our current communication channels are not enough.

We have decided that when we have a major release scheduled, we will send out email communication to all customers and post a notification on our Facebook wall (in addition to our typical updates). It is our desire to be transparent with you about our work and how it effects you.

Another issue with the 5.8 release was that downtime for the release took longer than expected. The release was scheduled for 3:00 AM (ET) and was expected to take only a few hours. However during the launch, an issue with theme rebuilding took until approximately 10:00 AM (ET) to resolve.

Issues, aside, here are the changes you’ll see in Wild Apricot with Version 5.8.

A Simplified Email Wizard

The first major component of Version 5.8 is that we've made it easier for you to send an email blast to your members with a new email wizard. During beta testing, a select group of customers found that the new email wizard was a much improved experience from the old version, and so it's our hope that you do too.
This is what the new interface looks like:

Here is a 6 minute video with a complete tutorial on how to send an email in the new wizard.

New Export Field

We’ve added a new field of member information that can be exported: last login date. 

This information will tell you the last date a member logged into their profile. You can use this new field to see which users are most active, or which users might need to update their information. 

For instance, if you notice that a number of members last logged in over a year ago, it may be a good idea to send those members an email (using the new wizard) asking them to confirm their information (address, phone number, etc.) so that your database is up to date.

You can find this field under export or search criteria options.

Last Login

API Enhancements

Wild Apricot’s Application Programming Interface (API) allows you to programmatically access data about your members and then use it in a number of different ways, such as: creating reports, updating databases, creating custom apps, etc. In order to do these things, you will need coding experience. 

With Version 5.8’s enhanced API you can now access more data with respect to events and contacts.

With Events, you can now:

  • Update event details for an existing event.
  • Retrieve information for specific events by specifying a list of events IDs. 
  • Retrieve a list of event tags currently in use. 
With Contacts, you can now:
  • Retrieve the SystemCode used to uniquely identify a field. 
  • Use the SystemCode instead of FieldName to identify the field when creating or updating contact records.

Bug Fixes

As with every major Version, we release a number of bug fixes to make Wild Apricot faster and more reliable. Here are a few things we fixed:
  • An internal error when attempting to access saved searches
  • Draft emails being autosaved as separate versions
  • Bolding on site page not appearing on Firefox
  • As well as a number of other issues.

An Update on Solution Splitting: All Accounts Moved Over

I’ve been publishing updates about this project since our March Newsletter. In short, the Solution Splitting project will “split” our code, turning Wild Apricot into smaller, more manageable segments.

After over two years, I’m happy to announce that this month we moved over all accounts to our new, “split” code. 

Our next step in this project is to release a number of bug fixes that are scheduled for our next minor Wild Apricot update.

Solution Splitting has been a very important project for our development team as we expect it to bring a number of improvements, benefits and large scale projects such as:

  • Faster feature development speed, meaning we can work on more of your requests
  • Fewer bugs and a more robust system, so you won’t need to call our support team
  • More frequent, faster and smoother releases to improve performance of our platform
  • Faster reaction on user feedback to product changes to give you a better experience
  • Improvements to our main features (membership, events, payments, CMS, emailing, mobile etc.)

    Still looking for single click to RSVP to free events. Seems to be a simple request that we, the users, have been requesting for years. Single biggest complaint from our members and biggest reason cited as to why we need to pursue a different solution. Was excited because several months ago, I thought I saw that this was finally to be addressed ... then greatly disappointed when it was not included in this release. I am not sure now that I will be a user when this finally gets addressed.

    Does code splitting also mean that the product's features will be priced separately in the future, with full-solution users paying more to get all the features that are now included in our subscription?

    Does the new email fix allow you to schedule emails? It is frustrating that you can only do so for events. I want to be able to draft an email and have it scheduled to send out at a specific time.

    Our Solution Splitting project is entirely internal. We will not be splitting features. Our software will continue to be an all-in-one system. Solution Splitting should allow us to make improvements to our software faster though.

    First of all congratulations for what is a great system and a great team. You are doing a wonderful job and I appreciate your responsiveness and forward thinking which keeps Wild Apricot developing and keeping pace with the changes in the online world!

    As mentioned in the newsletter, the email wizard was a bit of a surprise. I understand the concept, having also had a look at the little and very clear training video (nice voice-over!).

    There are, however, a few issues which I find very annoying:

    - When opening the email log, the end date for the date range does not default to today. Why not?

    - I work a lot with emails I have sent previously, a) to reuse the format or b) to send it to another group of recipients.
    a) I can see your reasoning whereby you will say, just make those formats into templates, then you can reuse them as you need to. Point taken, but I actually find the previous solution much more flexible where I was able to reuse any sent email, update it as needed and send it. Which brings me to point b)
    b) Of course, I can still reuse previously sent emails, however, the system remembers whom I have sent this email to before and even if I use a new filtered group of recipients it will reset itself to the previous group of recipients. So it is impossible to send out the very same email to different groups or do an updated version of it for another group on the hop. You will argue that I can change the recipients under the Recipient's tab. But this presupposes that I have previously saved a specific filtered set of recipients. This is not always the case as I have to create filters for sub-sets of members on the spur of the moment and as required at any point in time.

    What I am saying is that the previous system was more flexible and that now I have to find all kinds or work arounds unless you could put another option in the next update where you allow for filtering of a new group of recipients under the Recipients tab along with individual contacts and already saved lists. That would really make the wizard being what it is supposed to be, a facility that makes our work easier rather than creating new issues.

    export full membership, and only one member the filed didn't show a in the header row

    Hi. I really like the new email system. It's much easier to bounce back and forth between what I'm designing and what it will look like for readers. Unfortunately, I do have to say....again...that we really need to be able to schedule our email send outs. I've been asking for YEARS and I refuse to put in a wish list item again. I had hoped this much-needed feature would be added when the monthly cost went up, but nope. As our little organization grows and we add staff, I'll probably have to recommend a different membership management tool to our team. PLEASE either add this element or stop telling people to put in a wish list request.
