4 Tips for Members Location Mapping to Suit Any Organization

One big question many organizations have when they’re thinking of using a new feature is: ‘Will it be worth the time to set it up?’

To help you get the most from our new members location mapping gadget, I’ve been chatting with some of the organizations currently using it to hear what makes the gadget most helpful to them. I’ve also seen some inventive ways that organizations are using the gadget as a valuable addition to their site.  

The result is this list of tips for how members location mapping can be helpful for any organization, whether it’s big or small, works with the public or is private to members.

What is members location mapping?

Members location mapping is like a visual member directory. It plots the location of your members on a map, so you and your website visitors can search by address and click the points to see details on each member.

You can choose which members to show on your map, how exact the location should be, and which member details to show. You can add the mapping gadget anywhere on your site.

Who can use members location mapping?

Anyone who has a WildApricot account can set up members location mapping. If you haven’t got an account yet, you can still try out members location mapping with a 30-day free trial – click here to sign up.

Many organizations find the mapping gadget particularly helpful if they work with businesses or service providers, as it helps website visitors get in touch with the members who are local to them. Mapping can also be helpful for members who want to contact other members in their area, and for admins who want to quickly find members in certain locations.

4 Top Tips

1. If your organization is on a tight budget...

You can make sure you stay within the free allowance Google gives for views of the map by setting up API limits.

How does it help?

WildApricot doesn’t charge for using the members location mapping gadget, but Google does charge a small fee for using its APIs. Google gives you a free allowance that’s enough for most small organizations, but if your map gets a lot of views it could exceed this and incur fees.

If you want to avoid excessive charges for API usage, or to make sure you stay within your free allowance, you can set a limit on the number of API requests per day.

How to set up API limits

  • Select the project you want to set limits on from the list.

  • Select IAM & admin from the options on the left, and Quotas from the drop down menu.

  • Select which quotas you want to limit by checking the boxes next to them on the list, and then clicking Edit Quotas. You can then enter limits for each service.

2. If you have lots of different member groups or locations...

If your organization has lots of members in different neighborhoods or member levels, you can set up maps to only show members in specific area or groups.

How does it help?

Sometimes viewing all your members on one map can be a little overwhelming. You can help your members search even more quickly by creating a map of a single state or region, for example, or only showing board members or those with VIP membership. 

How to set up maps showing specific groups of members

You can easily choose to only show certain membership levels or groups:

  • Go to Website in the main menu, and select Site pages. Choose the page that includes your mapping gadget and click the Edit button.

  • Hover over the members location mapping gadget and click the Settings icon.

  • In the settings panel on the left, under Members to include, you can choose Selected levels or Selected groups then check the specific levels or groups you want to include.

To set up a map based on other criteria, you can use a saved search:

  • To create a saved search, go to Members from the main menu, and select Saved search.

  • By clicking Advanced search you can create a list of the members you want to show on your map by selecting your search criteria. Read more on creating a saved search here.

  • To show your saved search, begin editing the page where your mapping gadget appears, then hover over the gadget and click Settings.

  • In the settings panel on the left, under the heading Members to include, select to include members From saved search. You can choose the specific search from the drop down menu.

3. If your organization puts the public in contact with your members...

You can use the map on the same page as your member directory to give people several ways to find your members.

How does it help?

Sometimes it takes a while to search a directory list to find the right member. By having a traditional list directory and a member map on the same page, visitors to your website can choose how to search – by member details like name, or by looking at a specific location.

How to set up a directory page

  • You can add a members location mapping gadget to any page on your WildApricot site. Go to Website in the main menu, and click Site pages.

  • Select the page you want to add the gadget to, and click Edit.

  • To add a mapping gadget, click Add gadget. Find the members location mapping gadget from the list and drag and drop it onto the page. You can find more info on setting up the map here.

  • To add a member directory alongside the map, click Add gadget again. Drag and drop the member directory gadget onto the page. This will automatically show your member list, but you can choose which members to include and how to search in the menu on the left.

4. If your organization only shares your directory among members...

If you’d rather not share member details with the public, you can set up a member map that’s private to your members.

How does it help?

Some members might prefer not to have their location visible to the general public, and others pay for access to a member directory as part of their membership dues. If that’s the case for your organization, you can still use members location mapping by adding to a page that only members can view.

How to set up a members-only map

  • Go to Website in the main menu, and click Site pages.

  • Under Menu pages in the menu on the left, select a page in the members-only area of your site.

  • If you don’t have a members-only section, you can add one by creating adding a new page and setting the access level as Restricted. You can then select which member levels or group you want to see the page.

  • Click Add gadget and drag and drop the members location mapping gadget onto the page. You can find detailed instructions on setting up the gadget on this help page.
