What’s New in WildApricot

There have been two software releases this month, 6.12 and 6.13. As well as fixing some bugs, they also include 4 new functions to help save you time:

Exporting store invoices to QuickBooks

Invoices and payments for online store orders can now be exported to QuickBooks, along with other financial information.

On the QuickBooks export settings screen (which you can find under the Finance tab), you can specify which account should be updated for online store transactions, and the class used to categorize the transactions.

When exporting all transactions to QuickBooks, you can choose whether to include invoices and payments for online store orders. Find out more about exporting to QuickBooks here.

Automatic cancellation of unpaid event registrations

If the payment method for an event's registration fee is set to Online only, registrations will be automatically canceled if the registrant does not pay the fee within 15 minutes of clicking the Pay online button.

The corresponding invoice will be automatically voided. Depending on your event's email settings, a cancellation message may be sent to the registrant and event organizer. If not already a contact in your database, the registrant will also be added as an archived contact.

Unpaid event registrations will not be canceled if the payment method is set to Online/ Offline payment, or if the registration is completed manually. Find out more about canceling registrations here.

Email templates auto-save

Email templates are now automatically saved every 5 seconds while being edited. That way, if something happens like your browser crashes or you accidentally reload the page, you'll be prompted to continue editing the auto-saved version the next time you open the template for editing. Find out more about email templates here.

Paragraph spacing

When editing site pages, email, and event descriptions, you can now add or remove a blank line between paragraphs. To add or remove a blank line for a single paragraph, click anywhere within the paragraph, then click the line height icon in the toolbar.  Find out more about paragraph breaks here.

November Support FAQs

How do I create a saved search for non-member contacts?

If you want to create a saved contact search to display all your non-member contacts, add the Contact properties criteria, then choose None of selected from the drop-down menu and check Member. You can then add a name for this search, and click Save.

How do I turn a member into a contact?

To remove membership and turn a member into an ordinary contact, just suspend the membership. The system will keep a record of their previous membership level and status, in case you want to reinstate the suspended member. The suspended member – now a regular contact – can apply for membership like anyone else. For instructions on suspending a membership, click here.

How do I embed a PDF into an email message?

You can't embed a PDF in an email with WildApricot, or attach the PDF file to the email. However, you can store the PDF in your WildApricot account or an external site like Dropbox, and insert a link in the email that your members can click to access it. For instructions on inserting a link to a document or file, click here.

How do I track how many people are visiting my site?

WildApricot does not provide tracking of your website traffic, but you can use a third-party service such as Google Analytics to track traffic to your site. For information on using Google Analytics with your WildApricot site, click here.
