    Membership renewal date error

    Just now, I manually approved a member's renewal and set it for the next year (2009). The pop-up calendar has always been rather buggy or at least less than intuitive. It took more than a few clicks to make "2009" stick and display in the text box. Because of the difficulty with the pop up I was paying close attention and made sure it read "2009" before I clicked the publish button.

    However, the confirmation email that was sent to our member and to me reads that she is paid up until 2010! I went to her profile and of course it reads 2010 there too. This isn't going to help us pay the "rent." I cannot undo what has just happened but we've now lost one year in annual membership dues. It isn't a lot of money but we don't want this happening all the time.

    PS: I wish there were a way to subscribe to this thread from this support page form because if this posts to the WA forum, I won't know about any replies unless I keep checking my support message list on this page (which does not make note of replies), check the forum, or I get send me a direct email from WA.

    To append the my posting, above. I would edit out the <suggestion /> bit because I see I'm getting subscriptions now. But I can't, so I'll just say... please disregard that part. Thanks.

    All you have to do is to change membership status from Pending to Active and then click on Publish. After this the system will change renewal date according to the membership level renewal policy. If you also decide to change renewal date it will automatically add one year. In the future try not to change the date, all you have to change is the status.

    We understand that this behaviour might be somewhat confusing and we are planning to make it more user friendly in our future releases.

    Here is an issue I am having.  Our members apply this month.  Our 2008-09 renewal date is August 1, 2009.  However when I format the application to show August 1st, it is showing our renewal date as August 2008.  When I manually activated accounts I changed the renwal date to August 1, 2009.  Are members getting a message with that date of Aug. 2009 or Aug. 2010?  Is there a way the form can be set so it would automatically set the date for Aug. 2009 rather than 2008 ... since August is still yet to come for 2008?

    It is not possible to set it for Aug 2009 (that would mean by-passing Aug 2008) which cannot be automated. Why not set the renewal policy to July 1st, for the time being and then after Aug. you change it to Aug. 1st. However this change would only affect new applications (all previous records are not affected). You can then use export / import to change all records to the new date, and send a blast email to all members informing them of this change.

    The situation is that even if the system automatically advances the renewal date to the next year there is no hint that is what is going to happen when I login and edit the members status and publish. Hence I manually attempt to make it advance to the next year. In either event I had to trust that this would work and it didn't. The system sent my member a free year without my consent.

    A simple text box warning in the profile next to the status line might serve as a good reminder.

    We apologize if the renewal automation process is not very clear. Perhaps you would like to add your comments / suggestions in our wish list forum so others who feel the same way might vote on this issue as well.

    Priscilla, let me pitch in.

    Our dev team agrees that this automatic  advancement of date is far from ideal  - we can not expect people to read the help page and remember about this. So actually we are working to redesign this workflow altogeher - instead of adding a text warning (which most users probably will not notice anyway).
